MINUTES

29 February 2008 Meeting  /  Library East Conference Room, 10:30-12:00

 

Present:  Cathy Martyniak, Vernon Kisling, Matthew Loving, Nancy Poehlmann, Laurie Taylor

 

1. Minutes from 15 February 2008 meeting approved.

 

2. Updates.

2A. Delonda us using the three new flags developed for the second review.  And email was sent to selectors about the second review.

2B. IPS codes - DLC ones were cleared up, but still figuring out the internal processes.

 

3. Workflows still need to be refined based on selector input.

3A. It was decided to develop a master list/chart of approved web sites that will be used to obtain digital copies of brittle titles.  This will include procedures for locating these web sites and placing the digital record in the UF Libraries catalog as supplement or in place of brittle book print record.  Standards for acceptable digital copies also needs to be established. This master chart will be known as the ACCEPTABLE DIGITAL SURROGATES (ADS) chart.

3B. There also needs to be procedures for obtaining and cataloging free online titles as part of a brittle set/series as well as material we do not currently have.  This however is beyond what we need for the brittle book project, so Matt, Vernon and Nancy (with help from Laurie as needed) will work separately as a Knowledge Management Working Group on this concept.

 

4. Judaica Review.  668 pieces from this collection are in LE Room 1A.  Laurie and Cathy reviewed 100 pieces and determined some can go back to the stacks, but this will be put on hold for the time being.  Information on the 100 reviewed pieces was sent to Erich Kesse for a cost estimate to digitized these brittle pieces.

 

5. Action items for next meeting with regard to establishing the Acceptable Digital Surrogates chart.

5A. Criteria for approving a web site having digital copies of our brittle books -  Matt & Vernon.

5B. Criteria for preservation standards for qualifying a school/organization as a provider of ADS - Cathy.

5C. Criteria for acceptable digital standards required for digital titles that would be added to our catalog - Laurie

5D. Criteria for cataloging these digital titles in our catalog - Nancy
